TN 2023 Load-in/Load-out FAQ

The Vendor Hall is located in Ryman Exhibit Hall B1. See map below.
Load-In hours are Thursday, 6/29, 12pm-11pm. Please keep in mind that the docks are only open 12pm-7pm. Make sure to fill out the form in the vendor email to choose your load-in time.

FOR LOAD IN: Please make sure to fill out the form for your load-in time. AFTER LOAD IN: The closest lot to the vendor hall is Magnolia. This is also the smallest lot. The largest lot is Cascades. For large vehicles and those with trailers please use the Large Vehicle Lot. There is no shuttle back to the resort.
Load out hours will be Sunday 7/2, 3pm-8pm Please have all of your booth packed up before parking at the loading dock for load out.

Vendor General FAQ

Please see the "Vendor Hall" image below. Black lines only identify the bounds of your booth(s). If there is a oval, that shows a pillar/pole. If your booth has a pillar/pole in it, we allocated MORE space than you contracted for to account for this. There may be additional cost to change the pipe and drape layouts to your booth.
There is a cost to park, but you get a 50% discount on self-parking. You can obtain your parking discount card to apply to your parking ticket from SME Check-In Desk. If you are staying the night at Gaylord, your parking cost goes to your room and your discount should be automatically applied there. If you are NOT staying on property or you leave the property, you will need to get a new card each time.
See the "Vendor Halls & Classroom Locations" images below. All classrooms are in one area and are on the same floor as the vendor hall. There is even a Vendor & Teacher Lounge/Storage Room in the same area as the classrooms for our show! Please take advantage of this.
When you arrive to set up, you'll check in with one of our staff in the vendor hall. At that time, you'll receive your badge and lanyards for those working your booth. If you purchased the VIP upgrade, you'll be able to grab your shirts and Welcome Bags from the SME Check-In desk (the one our guests use) on either Friday or Saturday.

If you purchased electrical, an power cord will be ran to your booth selection for you to use during the show. You'll need to still bring your own extension cords and hookups to attach to this power line.
We HIGHLY suggest bringing your own hand truck, wagon, or dolly to haul in your booth setup. The facility does not have any to use or rent. There are less than a handful of SME owned hand trucks at this time, so we cannot guarantee that we will be able to loan them out.
This is our way of showing our appreciation to our vendors and teachers for participating in Sew Magical Expo. Join us on Friday, starting at 8 pm until 10 pm, in Exhibit Hall A. There will be a slew of yummy desserts and a cash bar that even has some special dessert based drinks.   There is no specific attire, and you can come after 8 pm if you'd like. This is open to you and your staff! Come mingle with your fellow vendors & teachers. Feel free to bring business cards and network as well!
We're offering a lunch station near the vendor hall to help lower food costs and make it more accessible during open hall hours Cost: $20 per day (Discounted rate only for Vendors, Teachers, & their staff) Payment will be taken at the lunch line and menus may vary daily.
